Board of Directors Meeting – May 28th, 2024


A Board of Directors Meeting was held on Tuesday, May 28th, 2024 at 06:30 PM in the former Cellars Restaurant at the Church Point Manor. All Board of Directors meetings are open to HOA members of record.

Please note that although the address for the Church Point Manor is 4001 Church Point Road, the entrance to the Cellars is actually around the corner on Meeting House Road.

Called to order at 6:31 pm.  A quorum was confirmed.

Secretary’s Report

Motion for approval of the April 22, 2024 minutes. Motion made by Don Degner, 2nd by Jack Timms – motion approved unanimously.

Financial report (December 2023) 

No report due to database issues at Select Group.

Committee Reports

Social Committee – Discussed Church Point events, to include the yard sale on May 18thand Concert in the Park at the gazebo on June 23rd. 

Landscaping Committee – Discussion regarding Solitude’s contract for maintenance/upkeep of the pond next to the Tap House.  The company is supposed to provide monthly reports of work performed, but the board has yet to receive anything.

Don will be discussing work to be performed in the common area with BrightView representatives this week, covering issues with irrigation systems (inoperative pumps and sprinkler heads), overgrown holly trees on First Court Rd, and removal of vines on trees in the neighborhood.  He also discussed the plan to remove approximately 20 old and failing trees in the neighborhood in danger of falling, as well as five Bradford Pear trees in the park across the street from the Manor House that need to be taken down.

AREC – Susan Hauser volunteered to be the chair of ARC.  

Communications Committee – Johan discussed the Yard of the Month schedule.

Manager’s Report 

Manager report was discussed.  Ms. Albright invited questions from the board and homeowners. 

Unfinished Business 

a. Butterfly & Pollination Garden – Tabled

b. Ratify vote for Tidewater Youth Camp – Motion made by Jack Timms, 2nd by Don Degner – motion approved unanimously

c. Architectural Guidelines – will be resent to board members by Jill Albright

New Business

a. Ratify vote for ARC approval for 1620 Meeting House – Motion made by Jack Timms, 2nd by Don Degner – motion approved unanimously

b. Ratify vote for Tree Works – for tree removal and sink hole filling and other work to be completed at the Timber Ridge Commons.  Motion made by Jack Timms, 2nd by Don Degner – motion approved unanimously

c. Ratify vote for ARC approval for 1404 Ware Parish – Tabled

d. Ratify vote for approval of Heritage Landscaping trimming of 14 Holly trees – Motion made by Jack Timms, 2nd by Don Degner – motion approved unanimously

e. Landscaping and irrigation concerns – will be answered during tomorrow’s meeting with BrightView

f. Maintenance of path from Thoroughgood to Pavilion – clean up branches and debris piled behind homeowner’s house at the Thoroughgood path and trail. 

g. Construction at property on Meeting House Lane with no posting – Select Group to investigate.
